Update T12R08 - Version 12.8 - Remote Concierge, Spot Times, flexible Dispatch screen, comprehensive Daily Overview, Sales Comparisons, Sub-contractor Airports, Groups, etc. [Posted on 2/5/2008]

 Update Key   Added Feature - Description 
 1  New Remote Concierge system - TripTracker's advanced web system which allows your trusted users to access and update your TripTracker data from any computer via the internet.  
  • Based on the security you give them, they can view their own trips, invoices, and statements, or add, change, or cancel their own trips. 
  • For more details, go to http://online-limo.com/webhelp and choose the Remote Concierge details. 
 2  You can now update the Dispatch screen's field sequence & sizing. 
  • There's a small new '<>' button just under the OK that will let you choose the template to update. A 'Default' template has been provided. 
  • The Dispatch screen will automatically open showing the template with the highest Sequence Number for your User ID. 
  • Once you select the template, you can change the order of the columns. Be sure each column number is used once and only once. 
  • You can also select how wide each column should be. Use the Original Size as a gauge. 
  • You can also Copy an existing template to a new name. 
  • Once you close the screen, just click the 'Switch View' button to see the new layout. 
  • If you just change the columns sizing, without changing the sequence, then you might have to close then reopen the Dispatch screen for the change to take affect. 
 3  New TripTracker Overview screen that will show you everything that happened in a day, at a glance. This was added to the Reports menu. There are 5 basic areas of the screen. 
  • 1. Trips for Date chosen (upper left), broken down by Dispatch Status code. 
  • 2. Totals for trips shown in #1 (upper middle)
    • Note that Quotes and Deleted trips will not be included in the totals.
     
  • 3. Trips Created on Date chosen (upper right), broken down by who created them.
    • Note that this will only show trips created for future dates. For example, it won't show a trip created on 1/1/2008 for any trip date in 2007.
     
  • 4. Invoices for Date chosen (lower left). You can toggle between Invoices with Trip Date matching date chosen, or Invoices created on date chosen.
    • Voided column shows count of all invoices with Customer ID = 0 (voided invoice)
    • Expenses column shows sum of Tip Paid, all Taxes & Fees, all Payroll wages, all Payroll reimbursables, and all Commissions.
    • Gross Profit is just Total minus Expenses.
    • The invoice data is found by going to the last invoice number added, and working backwards. If your invoice numbers wrapped, say from 99999 to 1, then it might not find all the data for the given date.
     
  • 5. Payments Created on Date chosen (lower right). You can toggle between showing totals by Pay Code (ie. Cash, Check, Credit Card), or Credit Card Type (ie. Amex, Visa, etc.).
    • This is not based on the Paid Date, which the user can enter. Instead, it is based on the date the payment was actually entered into the system.
     
 4  New options on Sales reports to compare date ranges side-by-side. Click the 'Compare By Date Range' button, and select how to summarize the data. 
  • For example, to compare each month between years, choose 'Group By' to 'Month' and 'Time Frame' to 'By Year'. 
  • The sales information can be grouped by 38 fields, i.e. Customer ID or Driver ID. 
  • You can summarize 31 fields, ie. Total Charge or Payroll Hourly Amount. 
  • And, you can display 11 different time frames, i.e. By Year or By Day Of Week. 
  • You can sort the displayed data into the desired sequence by clicking the column headings. 
 5  New table by Driver for sub-contractors to show which Airports they service. 
  • Changed Driver Lookup so you can search by airport. 
  • Click the 'Toggle View' button to show either Airports Serviced or driver's Phone Numbers. 
 6  Added support for Spot Time, which is when the driver should be on site for a pickup. Start Time (Spot) can now be different than Pickup Time. 
  • Definitions:
    • Report Time - when should the driver leave for their first pickup.
    • Spot Time - when the driver should be on site for a pickup (same as Start Time).
    • Pickup Time - when is passenger getting in car - can be different than Spot/Start Time.
     
  • New fields on Company, Customer, & Common Locations stating how many minutes Start Time (Spot) should be before Pickup Time. 
  • New parameter on the Edit | Options | General tab's Dispatch options - determine Start Time from first segment's Pickup Time. 
  • If using Spot Time, then Start Time = Pickup Time - Spot Minutes (of location, or customer or company if none). If not, then Start Time and Pickup Time must each be entered manually. Also, if trip's first segment has Relative Day +1 or more, then Start Time and Pickup Time must be entered manually. 
  • If using Spot Time - do not let user enter 'Start Time' on Quick Reservations - instead, they can only enter Pickup Time. 
 7  Added support for Report Time, when should the driver leave for their first pickup. This is calculated as the Start Time minus Estimated Hours to Pickup. 
  • New option on Common Locations, Passenger Addresses, and Customer Address to state how many hours it takes to get to the address from your location. This will be automatically put into either the Estimated Hours To Pickup, or Estimated Hours From Dropoff, depending on if the address is used as a pickup or dropoff. 
  • Report Time is now shown on the Dispatch screen. Only the first Report Time of the day will show, unless the driver has been idle for longer than the 'Maximum Downtime between Trips' parameter on the Edit | Options | General tab's Dispatch options. 
  • New Trip Ticket report 'TRIPREPT', which will show Report Time and 'Switch To Vehicle' if needed. 
  • Driver's Dispatch Recap report (with & without directions) was updated to show Report Time and 'Switch To Vehicle' if needed. 
 8  The Dispatch screen now shows 'Switch To' Vehicle, if driver was working trips in one vehicle, then is assigned a different one. This will recalculate on 'Refresh' and new date only. 
 9  Other Charges can be automatically added based on the trip details. 
  • A new Charges button was added to the Vehicle Group, Customer, Passenger, Agent, Location, Zone, Promo ID, Run Type, Referral Source, Trip Type, and Your Company screens. 
  • On the Charges screen, be sure to click the 'Insert' button before typing in a new charge. 
  • A charge will be applied if the trip uses the matching key value. For example, if you set Vehicle Type 'Limo' to have an Other Charge of 'Premium Upgrade' for $20, then any new trip with a 'Limo' Vehicle Type will get the charge applied. 
  • You can set a charge to be applied if the Location or Zone is the Pickup, Dropoff, or Both. 
  • You can set a charge to be applied if the Return Trip is the Outbound, Return, Both, or Neither. Use the Run Types screen to setup the Return Trip charges. 
  • The Rate calculation will only add Other Charges flagged with 'On Every Trip'. 
  • The Other Charges will only be added when the trip is priced. If you have Automatic Pricing turned on, then you just need to click the 'Edit Charges' button. If not, then you have to then click the 'Find Rate' button. 
  • Each Other Charge based on a key value can have 'More' criteria added. For example, this will let you set up an airport pickup fee by vehicle type. From the 'base' record (ie Location), click the Charges button. On the list of Charges, you can click the 'More' button to Insert a new match field(s). Then, either type in a numeric value (like Customer ID), or choose from a displayed list (like Vehicle Group) depending on the field chosen. 
  • On the 'Find A Standard Charge' screen, if you click the 'Apply To Charges', then any charges that have 'More' criteria will have their 'Apply To' field shown as a raised button. If it is pressed, it will list all of the extra criteria. Note that all Other Charges are shown, not just matching ones. 
  • Existing Other Charges and Tolls & Parking for Run Types & Zones were converted to these new Other Charges. 
  • If the Other Charge is flagged with a Charge Code of 'Tolls' or 'Parking' then it will be added to the Tolls & Parking field, instead of creating a new Other Charge. Note that all existing Tolls & Parking converted from Zones and Run Types must be manually flagged, since the upgrade didn't know how you wanted those split up. 
 10  Let user control what fields are required on a trip. 
  • A new 'Required Fields' button was added to the Customer, Passenger, Your Company, Agent, Run Types, Referral Source, Vehicle Group, Trip Types, and Common Location screens. For each master record, a list of Required Fields can be set, from either the Reservations or Trip Segments tables. 
  • A Required Field can be setup to be 'Not Required', which will override any other check. This will simplify the setup of this new feature. For example, you can set Your Company record to require the Trip Segment's Credit Card Number field (CCNo), but have certain Customers 'Not Require' this field. 
  • When saving a Reservation, compare against list of required fields. If any are blank, warn the user that they need to update them, showing whatever message you choose. 
  • For reservations, if the field is a charge, then show the Edit Charges screen. The charges fields are: 
  • Reserv fields: Car Scheduling Group, Promo ID, Run Type, Trip Type 
  • ResvTrip fields: From Addr Type, From City, From State, From Zip, To Addr Type, To City, To State, To Zip 
  • For reservations, the field can be flagged so that either a trip can not be saved without the field, or else the trip must be converted to a Quote. 
  • If a pickup or dropoff is a Common Location or Airport, ignore if the City, State or Zip are required for that stop. 
  • The Required Fields list can optionally be kept open after clicking OK. The user can then reference it while fixing the trip. 
  • New option on the Security Access For User screen, which will let a user ignore the Required Fields, so they can close the trip screen. They will still be shown any required fields once per trip. If a 'regular' user is stuck, just toggle their field while they click OK on the reservation screen. 
 11  New option to extract the Sales report data to a spreadsheet. 
  • Choose a Sales report, and enter your desired criteria. 
  • Click on the 'Display Sales Summary' or 'Compare Date Range' buttons. 
  • Sort the data into the desired sequence by clicking the column headings. 
  • Click the new 'Create Spreadsheet' button. 
  • Enter the file name to save the data in. 
  • Click 'Create CSV File' 
  • Press 'Yes' if you want to open the file in your default spreadsheet program, ie. Microsoft Excel. 
  • Be sure to save the file as a spreadsheet (XLS) and not CSV file if you want to refer to it later. 
 12  New Group Trip Ticket (TRIPGROUP), which doesn't show repeated information. For example, if 20 passengers are coming off the same flight & going to the same hotel, there will only be 1 Pickup & Dropoff shown, with a list of the 20 passengers. 
 13  New Group Invoice, which will show a list of passengers for common pickups & dropoffs. 
 14  New table on Customer screen of valid P.O. Numbers for customer. 
  • As P.O. Numbers on trips are added & changed, this table is checked to see if they are valid. If not, the user is warned, and asked to choose a valid one. 
  • Note that the user can still override an invalid entry. 
  • Only customers with at least one valid P.O. Number will be checked. 
  • Click the button to add all P.O. numbers from either the customer's Invoices or Reservations. 
 15  When running Customer Statements, all of the Statement IDs for each invoice will now be saved, instead of just the last Statement ID. 
  • From the Invoice or Customer screens, and the Customer Statements reports screen, you can see all statements. 
  • You can click each Statement ID to see all of its details. 
  • You can then click Apply Payments to pay just that statement. 
 16  Added three new Sales Reports: Sales By PO Number, Referral Source, and Promotion ID. 
 17  New flag added to each trip to specify the Trip Type. Initial values of 'As Directed' and 'Point-to-Point' have been added. An 'As Directed' trip would force the Rate Calculation to ignore the flat rates & only show hourly, whereas a 'Point-to-Point' tr 

 Update Key   Bug Fix - Description 
 1  Speed up Reservation, Invoice, Customer, & Passenger lookups when the key value is entered. 
 2  On the Dispatch screen, when list of available drivers displayed, it will now exclude any with exact same trip times. 
 3  The Dispatch notes popup was resized to fit all of the text. Click the 'X' in the upper right corner of the notes to close the popup window. 
 4  Cancelled trips will not show on the Dispatch Manifests & printed Schedules anymore. 
 5  When Add Trip was cancelled from Dispatch, it updated the first trip on file's date. Changed all Dispatch & Schedule screens. 
 6  Vehicle Schedule didn't keep the passenger data with its trip when the Up arrow is used. Also fixed '>' & '<' buttons to scroll through stops. 
 7  Fixed the Invoice screen so it will now correctly calculate agent commissions when the agent or base amount are changed. 
 8  When Applying Payments to an Invoice, warn the user if they accidentally hit 'Get Card Approval' more than once. 
 9  When using Print Trip Tickets, you can now cancel and choose a different report. Previously, it would default to 'Trip Ticket' on second try. 
 10  Emailed Confirmation format was cleaned up, removing blank lines and making the email easier to read. 
 11  When printing a single Trip Ticket from the Reservations screen, all report types will now work. The Arrivals or Departures Manifests used to only work from the Print Trip Tickets screen. 
 12  When copying a reservation for a return trip and selecting a different airport, the directions weren't being updated. 
 13  Wizards weren't working. 
 14  Fix new record's key violation - if the key already exists, don't let user leave field. All data entry forms were changed: Address Types, Airlines, Customer Type, Dispatch Status, Location, Location Type, Note Type, Pay Methods, Pay Types, Referral Source, Report Types, Sales Taxes, Users Security, Special Instructions, Zip Codes, and Zones. 
 15  Sales reports & Statements now include all 5 Taxes & Fees, not just the first one. 
 16  The Rates Per Vehicle Group screen was resized to get more rates to display. The Rates Per From Zone screen was also resized. 
 17  The QuickBooks interface would occasionally lock up when trying to determine if QuickBooks was already running. 
 18  When copying the Vehicle Maintenance, an error was displayed stating that 'The number of menu items has exceeded the limit set'. 

 Update Key   Update - Description 
 1  New option to control whether the Dispatch Status can be used in real-time to determine if the driver is late for the trip. 
  • New flag on the Edit | Options | General tab's Dispatch options to show that 'Dispatch Status is updated in real time'. 
  • New option on the Data Entry | Dispatch Status screen to flag whether the 'Passenger In Vehicle' for each status. 
  • If the driver should have left for the trip already, but its Dispatch Status doesn't have 'Driver Enroute' flagged, show the Start Time in yellow. 
  • If the passenger should be in the vehicle, but the Dispatch Status doesn't have 'Passenger In Vehicle' flagged, show the Start Time in blue. 
  • If the trip should be completed, but the Dispatch Status doesn't have 'Show As Done' flagged, show the Start Time in white. 
 2  On Dispatch limits (when headings clicked), added new option for 'not blank' to show only trips with assigned values for chosen field. 
 3  New options on Dispatch: 
  • New option to show the Vehicle color, instead of the Vehicle Group color. Set the flag on the Edit | Options | General tab's Dispatch options. This will let you see at a glance which passengers are traveling together (for shared rides & group transport). Each Vehicle's color can be set from the Data Entry | Vehicles list. 
  • New option to show the Driver in the same color as Vehicle or Vehicle Group. Set the flag on the Edit | Options | General tab's Dispatch options. 
  • New option to show passenger's Cell Phone in 'Phone' field. If it is an airport pickup, then put Origin City at end of From info. 
  • Add new fields to Dispatch screen: From Zone, To Zone, Total Miles, Payroll Method, Total Charge, Amount Owed, To-Be-Billed flag, Invoice Number, Contact Name, Referral Source, Trip Date, Pickup Time, Report Time, Switch To Vehicle, Trip Stops, and Passenger Count. 
  • Total Charge & Amount Owed can be hidden from the screen using the Edit | Options | General tab's Dispatch options. 
 4  Can now use 255 different colors for the Dispatch Statuses, instead of just 16. 
 5  Can now set Zones to display in up to 255 colors. Also, a new Short Name field was added for each Zone, which is displayed on the Dispatch screen for both From & To Zones. 
 6  New options on Vehicle Availability screen & Driver Availability screen to color trips by From Zone or To Zone. Also, changed Dispatch screen to color From Zone & To Zone. 
 7  Schedule report printing was enhanced to optionally page break by Driver or Vehicle ID. 
 8  New warning on the Dispatch screen showing 'Limited View' in red in the header, if you have set a limit to not show all records. 
 9  When Email Duplicate list is shown, added new button to select all or none. 
 10  The Email Invoice function will now let you email a Receipt instead. Also when an Invoice is printed, the Receipt option will show each individual payment instead of just a grand total. 
 11  Removed the 2 page Reservations screen, with the separate Trip Segments screen. This will not work with the new Spot Time logic. All users will now use the Quick Reservations screen. If you can't find a field on this screen, click the 'More Trip Info' tab. For Directions, click the 'Edit Directions' button. 
 12  Any trips that don't already have an outbound or return trip can now be manually linked by clicking the 'Link It' button and entering the other Reservation ID. The earliest of the two will be flagged as the Outbound, and the later as the Return. Note that the trips must have the same Customer ID. 
 13  Two new options for Emailed Confirmations to show the Driver's Cell Phone or Vehicle's Cell Phone. Set this on Edit | Options | General tab. Also, if Your Company has the show 'Full Driver Name on Trip Tickets' option set, the full name will be included on the emailed confirmation. 
 14  Email Quotes can now have their own header & footer, separate from Email Confirmations. Go to Your Company screen's Email tab to set this up. Also, the Quote Status (Expired, Rejected, Booked) will be included in the email if it is set. 
 15  Email Cancellations can now have their own header & footer. Go to Your Company screen's Email tab to set this up. 
 16  New option on Your Company to enter your own Trip Ticket Capture Information, i.e. 'Time Out/In', 'Phone Out/In'. This will show on all trip tickets in place of the standard wording. 
 17  New Trip Ticket report that shows the Pickup or Dropoff address on one line. This will now fill the page with Stops, before showing the Charges. If you want to replace the regular Trip Ticket, go to Data Entry then Report Types, and find the 'Triptick' with a file name of 'TRIPTICK'. Change its sequence number to 97. Then, find 'TRIPTICK1LINE' and change its sequence number to whatever 'TRIPTICK' was. 
 18  Updated new Group Trip Ticket to show the trips' Charges. Choose 'TRIPGROUP' when printing the Trip Tickets. 
 19  Added a new Farm Out Trip Ticket that does not show the Special Instructions. If you want to replace the regular Farm Out Trip Ticket, go to Data Entry then Report Types, and find the 'Triptick' with a file name of 'FARMTICK'. Change its sequence number to whatever 'FARMTICK' was. 
 20  When searching for a reservation, you can now enter any Trip Segments field to match. Click the 'Segments' field below 'Other Fields' to choose the field to match. 
 21  When deleting Customer, Passenger, Driver, Vehicle, or Agent, show how many reservations or invoices already use the value. Also, ask if they want to see all reservations or invoices with that value. 
 22  Put new totals at bottom of 'Display Payroll History' screens. 
 23  New option on Payroll Methods (from Your Company screen) to subtract Agent Commissions amount from percent pay. 
 24  All Statement reports changed to only print the company & customer headings on the first page per customer. 
 25  New security to Copy A Trip. User must have Create A Trip & Copy A Trip to use this function. 
 26  Mailing Labels were changed to allow any field to be selecting when printing labels. Choose the new 'Other' field and then choose a field from the list. You can then enter the match parameters and values to limit what is returned on the report. 
 27  New function to extract Email Addresses stored in TripTracker and put them into a spreadsheet, i.e. Excel. From there, you can import them to your email program and send out mass emails. For instructions, click http://online-limo.com/webhelp and choose 'Extract Email Addresses'. 
 28  New utility to update your Vehicle IDs. For instructions, click http://online-limo.com/webhelp and choose 'Renaming Vehicles'. 
 29  The 'Import Trips From An Excel Spreadsheet' utility will now let you define your own templates. For instructions, click http://online-limo.com/webhelp and choose 'Import Trips From Excel'. 
 30  New utility to grab all the contact information for anyone going to or coming from a Common Location (ie airport) or an address (including City, State, ZIP), and then put it in a spreadsheet. You can enter date ranges for the trips to be searched. Form name is ZLocationExtract.FDL 
 31  Display a progress bar when running the 'Clear Change History Log' and 'Verify Table Structures' functions. 
 32  New report for 'Find Invalid Lookups' to show each distinct invalid value.
